INFORMATION RELATING TO PERSONAL DATA PROCESSING
Introduction:
IMP PAN (Gdańsk, Fiszera 14, Poland) is the controller of your personal data; data protection officer can be reached at: iod@imp.gda.pl
Your personal data are stored and processed in accordance with the Regulation (EU) 2016/679 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (GDPR).
Purposes and the legal basis for processing:
1) Your personal data including image recorded in photo or audio relations from the 8th International Congress on Technical Diagnostics ICTD 2026, that you consented to be processed, shall be processed according to participation in ICTD 2026 and to be placed on IMP PAN website and in information materials regarding the Conference( Article 6 (1) point a GDPR).
2) Your personal data shall be processed in compliance with a legal obligation to which IMP PAN is subject to, for example: taxes, settlements, reports, keeping of the documentation (Article 6 (1) point c GDPR);
3) Your personal data will be also processed to help with implementation of the Conference, including identifying of participants, work coordination, internal communication, information of the Conference,
4) and to maintain the relationship with you, which is a legitimate interest pursued by IMP PAN (Article 6 (1) point f GDPR).
5) Provision of personal data is voluntary, but in case of purposes stipulated at point 2) and 3) required to participate in the Conference.
Your rights:
1) You have the right to: request access to your personal data and to receive copies, rectification or erasure of or restriction of processing concerning your personal data, the right to object to processing based on legitimate interests of IMP PAN and the right to data portability;
2) You have also the right to lodge a complaint with a supervisory authority i.e. in Poland to President of the Personal Data Protection Office.
Recipients of the personal data:
Your personal data may be shared with:
– person who processes personal data on behalf of the IMP PAN e.g. providing IT, law, HR or tax service;
– third parties e.g. our partners in Conference, bodies managing the Conference, auditors, banks, public authorities.
How long your data will be stored:
1. If the basis for the processing is your consent – the data will be stored until its withdrawal, but no longer than the completion of the Conference’s evaluation.
2. If the basis for processing is a compliance with a legal obligation to which IMP PAN is a subject to – data will be stored for the period of keeping the accounting documentation required by law, but not for less than the duration of the proceedings in order to pursue claims or defend against them.
3. If the basis for processing is legitimate interest of IMP PAN – the data will be stored until your effective objection.
4. If the specific provisions specify the time for which personal data or the documentation containing them are to be stored – the data will be stored for that time.
